Privacy Policy

Last updated November 3, 2026 · Draft pending legal review

XFactor Insider ("the App") is operated by XFactor Title & Closing ("XFactor", "we", "us"), Tulsa, Oklahoma. This policy explains what information we collect from real estate agents and other users, what transaction and client information agents submit, and how we use and protect it.

1. Information we collect

Account information (agents and other users): name, brokerage, email, phone, preferred navigation app, sign-in credentials, and for administrators an authenticator-app enrollment.

Transaction and client information (submitted by agents): property addresses, county, prices and dates; buyer and seller names, emails and phones; other agent, transaction coordinator and lender details; and uploaded contracts, addenda and supporting documents.

Net sheet information: sale prices, payoffs, compensation, fees, credits and other figures you enter to estimate seller proceeds.

Activity information: Broker's Open tours, stops, check-ins, property feedback, sponsor reviews, giveaway entries, notifications, and audit records of important changes.

Listing and sponsor information: listing details, photos, sponsor names, logos and contact details provided by agents, sponsors or XFactor staff.

We do not collect Social Security numbers, bank account credentials or wire instructions through the App. Never send them through App forms or uploads.

2. How we use information

  • To provide Broker's Open listings, tours, route planning and property spotlights.
  • To receive, review and process title orders and communicate status updates.
  • To calculate, save and review seller net sheet estimates.
  • To run sponsor programs and giveaways under their stated rules.
  • To secure the App, prevent fraud, keep audit records and meet legal and regulatory obligations.

3. Service providers

We use trusted providers to operate the App: secure cloud hosting and database services; Google Maps Platform to calculate driving routes (stop addresses are sent to Google); and an AI service to suggest tour listings from the priorities you type and public listing details. Client, order and net sheet information is not sent to the AI service. We may connect our title production software (SoftPro) in the future; this policy will be updated before that happens.

4. Who can see your information

  • Title orders, parties, documents and net sheets are visible only to the submitting agent and authorized XFactor staff.
  • Sponsors never have access to title orders, client information, seller financials or uploaded contracts.
  • Listings, events, sponsors and listing agent contact details are visible to signed-in App users.
  • We do not sell personal information. We may disclose information when required by law, to parties to the transaction as needed to close it, or to protect rights and safety.

5. Security

Information is transmitted over encrypted connections and protected by role-based access controls. Documents are kept in private storage. Administrators must use two-step sign-in. No system is perfectly secure; notify us immediately of any suspected unauthorized access.

6. Retention

We keep transaction records and documents for as long as needed to complete the transaction and to meet legal, underwriting and regulatory record-keeping requirements, then delete them securely under XFactor's retention schedule. You may delete saved net sheets at any time.

7. Your choices

You may update your profile in My Account, and may request access to, correction of or deletion of your personal information by emailing order@xfactortitle.com. Some records must be retained by law. Marketing consent is never a condition of giveaway entry.

8. Children

The App is for real estate professionals and is not directed to anyone under 18.

9. Changes and contact

We may update this policy and will post the new date above. Questions: XFactor Title & Closing, Tulsa, OK — order@xfactortitle.com. See also our Terms of Use.
